The People pane provides for adding or removing users in the project, as well as for granting Project manager and Terminologist rights, and issuing temporary memoQ licenses for users.

How to begin

Open an online project for management: On the Project ribbon tab, choose Manage projects. In the Manage projects dialog, select the project you want to manage, and click the Manage command link below the list. In the memoQ online project dialog, click the People icon on the left.

Project users tab:

To add a user to the list, click the Add user button. The Add users to project dialog appears:

Select a user or several or a user group. If you choose a group, then all members of this group are added to your project.

In the Show users from... section, check the memoQ server check box to only display the users on the memoQ server. Click the Create new user link to open the User properties dialog to create a new user on the memoQ server. Check the Language Terminal check box to display the users registered with Language Terminal. This check box is disabled if you have not registered in Language Terminal. Click the Manage Language Terminal account link to open your Language Terminal account.

Click the Language Terminal (LT) icon to open the Language Terminal sign in page. Sign in, you are directed to search page to search for suitable LT vendors for your projects.

Click the Refresh icon next to the LT icon to refresh the LT users list. This is handy if you as a memoQ server owner add a new vendor to your vendor list in LT, and then you create an online project and wish to assign documents to this user. The Refresh button instantly refreshes the LT users, and the vendor list is immediately available to LT users.

Use the Filter users section to filter users either by project source language and its target languages as language pair (sublanguages included, except for Chinese) or by text. If you search by text, enter text in the text field below the check box. memoQ searches not only the user name, but also the full name, the description of the users/groups. If you filter by project language, then only users with this language pair are shown.

In the Add users in role section, click a user role (Translator, Reviewer 1, Reviewer 2 or None) radio button to add the selected users to the Languages and Roles tab in this role. You then do not need to go to the Languages and Roles tab, and add users to their roles. If you choose None, then the user is added to your project, but in no role.

In the Users and groups list, you see the name of the users or group, a description column, the language pair; the column left to the user name indicates the package workflow for the user which you need to specify in the user properties:

The column left to the package workflow indicates whether the user is a memoQ server () or a Language Terminal user ().

Language column: If you have assigned a language pair to a user in Server administrator > User management, then it is indicated here. You can only list the users with the suitable language pair for your project. Check the by project language check box.

Click the Clear selection link to uncheck all users and groups at once.

To remove a user from the list, select a user in checking the check box next to her name, then click the Remove selected user button. When you remove a user from the project, all documents assigned to that user will no longer be assigned to anyone.

The Project users tab consists of the following columns:

User: Shows the added user. Left to the user name you can see for which package type the user is enabled: both, online (no packages) or packages only.

Project manager check box: if you check this next to the name of a user, memoQ will grant the user project manager privileges over the project. The user will not become member of the Project managers group on the server.

Terminologist check box: if you check this next to the name of a user, the user will have terminologist privileges.  The user will not become member of the Terminologists or Proofreaders group on the memoQ server, but will have permission to moderate and otherwise control term bases in the project.

The two above check boxes give users extra permissions over the resources in the project – as long as the user is a member of the project team, and the resource is included in the project.

The Desktop (translator pro) license check box next to each user controls whether or not the user is granted a mobile license from the server. This can be CAL or ELM, depending on the configuration of the server. When the user checks out the project, memoQ checks if the current edition permits the user to work with online projects. If the user is not permitted to connect to an online project, memoQ will obtain a mobile license from the memoQ server. The license will be valid until the deadline of the project expires.

Note: When a user accesses the project through memoQWeb, memoQ server will always use a license. This license can be a regular mobile (CAL/ELM) license, or a web license, which is available for memoQWeb servers in memoQ 2015 (7.8.100) and later.

Languages and roles: This column shows the selected users roles for a user on the Languages and roles tab.

 

Languages and roles tab:

On this tab, you see a list of target languages from the project. memoQ automatically fills the roles based on the selected users on the Project users tab. When you add a new language to the project (on the Overview tab), it will result in the addition of another row to the table. The target languages are listed in alphabetical order in the table instead of the order of addition of the languages.

You can add translators and reviewer roles. When you hover over a row, the field turns gray, then click into this field. The Set users dialog for the selected target language appears:

Note: You can also use FirstAccept to assign users in a role.

Choose a workflow for the Translator, Reviewer 1 and Reviewer 2 workflow, or choose FirstAccept for all 3 workflows. Choose the working hours from the Expected response time drop-down list when you choose the FirstAccept option as workflow. When a cell is set to FirstAccept the selected users are listed in parenthesis, for example: "FirstAccept (cdx_tr1_hu, cdx_tr2_hu)".

In the Apart from project users also show... section, check the memoQ server users check box to only display the users on the memoQ server. Click the Create new memoQ server user link to open the User properties dialog to create a new user on the memoQ server. Check the Language Terminal users check box to display the users registered with Language Terminal. This check box is disabled if you have not registered in Language Terminal.

If you search by text, enter text in the text field below the check box. memoQ searches not only the user name, but also the full name, the description of the users/groups. If you filter by project language, then only users with this language pair are shown.

In the Users and groups list, you see the name of a single user () or group () or if the user is a Language Terminal user () .  These users are part of your project. In the next columns, you see a description column, the language pair; the column left to the user name or group indicates the package workflow for the user which you need to specify in the user properties:

When you check a check box in front of a user name, indicate the memoQ user role in checking the Reviewer 1 or Reviewer 2 check boxes. The users is then listed on the Project users tab of the People pane.

If you search by text, enter text in the text field below the check box. memoQ searches not only the user name, but also the full name, the description of the users/groups.

Click OK to assign the users and to return to the Languages and roles tab.

Click the Reset users button to reset the user assignments of each target language and each role to selected users and to clear all user assignments.

When you remove a target language from the project (can be done in local projects or at the online project creation phase in the wizard), the users belonging only to that target language and not marked as project managers either will also be optionally removed from the project. A dialog is displayed where you can choose to remove the language and the users, to remove the language, but not the users or to cancel the language removal.

When you select documents, and then click the Auto-assign link in the Translations pane, a user is automatically assigned. This user must be assigned to a role and must have a language pair. If there are more suitable users to be assigned, no assignment happens.

 

Assignment checks tab:

On this tab, memoQ reports about the assignment status of the project, and gives warnings if all documents are not assigned.

memoQ issues warnings for each project phase (Translation, Review 1, Review 2). The warnings refer to documents that were not yet assigned to anyone.

If there are warnings for a project phase, click the Show/hide details link for a list of affected documents.

In the list of documents, click the Take me to this file arrow link next to the name of each document. The memoQ online project dialog displays the Translations pane, and highlights the corresponding document, so that you can assign the document to the team member.

Navigation

To switch to another pane in in the memoQ online project dialog, click its icon. The name of the active pane is set in bold. To exit the memoQ online project dialog, click the Close () button in the top right corner.
