As a subvendor group manager, you can use the Translations pane of the memoQ online project window to assign users to documents in an online project. You cannot set up the online project itself, and you cannot import new documents into the project.

You can keep track of documents that your client assigned to your organization in the online project. In addition to assigning users, you can watch the progress of each document in each user role.

Important: As a subvendor group manager, you see a restricted view of the Overview pane. If you are an administrator or a project manager on the memoQ server, click here to view the Help topic on the full view of the Overview pane.

Note: When your client assigns documents to your organization, you are responsible for the entire lifecycle of the document. This means that you need to assign users to each document in all user roles: Translator, Reviewer 1, Reviewer 2 if you are assigned to all roles. If you are only assigned to one or two roles, you are responsible for those assigned roles.

Important: When you are the subvendor group manager, you can change the deadlines between the assigned roles, but you cannot change the final deadline given by the project creator.

How to begin

Open an online project for management: On the Project ribbon tab, choose Manage projects. In the Manage projects dialog, select the project you want to manage, and click the Manage command link below the list. In the memoQ online project dialog, click the Translations icon on the left.

The document list

In an online project, the document list shows the following information about each document:

Progress indicator icon: – the document is finished and delivered; – work has started on the document; – the translator did not start working on the document.

Document name and folder (if you use the tree view)

V: If the documents in the project are under version control, this column shows the current version of each document.

#: This column shows the number of segments in each document.

Progress: This column shows two numbers: the first is the progress of the translation, and the second is the progress of Review 2. The progress is shown as a percent value.

Note: The progress of Review 1 is not counted separately. The progress of Review 1 affects the progress number for the Translation phase.

Tip: By default, when displaying progress, memoQ compares the number of source words in confirmed or proofread segments to the total number of words in each document. You can change this: right-click in the document list, and point to Base progress on in the popup menu. A submenu appears where you can choose from Segments, Words, and Characters. If you choose Segments, memoQ will compare the number of confirmed or proofread segments to the total number of segments in each document. If you choose Characters, memoQ compares the number of source characters in confirmed or proofread segments to the total number of characters.

Translator: The name of the translator for the document. This is the name of a user on the memoQ server.

Deadline (T): The deadline of translation for the document (optional). The background color of this field also shows the workflow status of the document:

Grey: Work has not yet started on the document;

Blue: Work is in progress;

Green: Work has finished, the document was delivered;

Light red: Work is overdue.

Reviewer 1: The name of the 1st reviewer of the document (optional). This is the name of a user on the memoQ server.

Deadline (R1): The deadline of Review 1 for the document (optional). The background color of this field also shows the workflow status of the document (see above).

Reviewer 2: The name of the 2nd reviewer of the document (optional). This is the name of a user on the memoQ server.

Deadline (R1): The deadline of Review 2 for the document (optional). The background color of this field also shows the workflow status of the document (see above).

Manual assignment of documents to users

To assign a document to a user in a work role, choose the user from the drop-down list in the corresponding column. Example: To assign a document to a translator, choose the user from the drop-down list in the Translator column.

Note: If the preferred user is not in the drop-down list, you need to add that user to the project on the Project users tab of the People pane of the memoQ online project dialog.

To assign multiple documents to a single person in one or more workflow roles, select the documents, and click the Assign link below the document list. The Assign selected documents to users dialog appears. You can also use GroupSource and FirstAccept to assign documents to users.

Document actions

Note: From memoQ 2015 build 100, subvendor managers can update project documents from bilingual files: it is possible to review a document outside memoQ, and update it from a file. Subvendor managers still cannot import new documents in a project.

Important: When you are managing an online project, you cannot open a document by double-clicking its name. To view and edit document contents, you need to check out a local copy of the project. To check out a local copy of the project you are managing, use the project checkout icon in the memoQ online project window. See the main topic for the memoQ online project window to learn how.

Note: In online projects, you cannot create or use views. This is why there are no tabs in the Translations pane of the memoQ online project, and only the documents are listed. If you need to split up large documents, please refer to Slice a document.

Important: In content-connected projects, different actions are available: these projects take the translation documents from a content source through a content connector service, and the documents are not manually added to the project. Instead, memoQ watches the content source, and automatically updates the project when there is a change in the source. For more information, see the Document actions in content-connected projects section.

To use the commands in the Translations pane of the memoQ online project dialog, click a link below the document list. Some commands work on the selected documents: with such commands, you need to select one or more documents first. Alternatively, you can right-click the selected document, and choose the command from the popup menu.

Update from bilingual: Updates the selected document from a bilingual file. You cannot add new documents to the project with this command.

History/reports: Opens the History/reports dialog which allows you to see the history of the document or the reports relating to it.

Export bilingual: Starts the Bilingual document export wizard to save the document contents in one of memoQ supported bilingual formats (two-column RTF, bilingual Word document, and XLIFF).

Export (dialog): Exports the translation for the selected document or documents. For each document, memoQ will display the Save as dialog where you can choose a location and a name for the document to export. If the document has formatting tag errors, memoQ warns of them, and does not export the document.

Export (stored path): Exports the translation of the selected documents to the location shown in the Export path column for each document. If a document has formatting tag errors, memoQ warns of them, and does not export the document.

Confirm and update rows: Opens the Confirm and update rows dialog for the project or selected documents. You can select which segment status you want to confirm to the TM in order to update the TM.

Important: Subvendor PMs only get the same implicit permissions in projects as regular translators. In particular, they only get lookup permission for the master TM. A Subvendor PM can not update the master TM in the online project.

Note: The document list of the LiveDocs tab of the checked out local copy of the project lists the binary documents for the Subvendor users even if the user has only lookup permission.

Asia Online: Submit the selected documents to the Asia Online machine translation portal for machine translation. Asia Online processes the documents, and sends them back; then the documents are automatically updated. When you click this link, the Asia Online jobs dialog appears.

Important: The Asia Online command is not available if your server is not licensed to use Asia Online. You need to acquire a specific license from Kilgray, and also an account with Asia Online, before you can send documents for machine translation.

Statistics: Opens the Statistics dialog to calculate word and character counts, and analyse the documents against the translation memories in the project.

LQA reports: Opens the LQA reports dialog.

Pre-translate: Opens the Pre-translate dialog, and pre-translates the selected documents using the translation memories and LiveDocs corpora in the project. All translation memories and LiveDocs corpora must be stored on the memoQ server.

X-translate: Opens the X-Translate dialog that allows you to fill the document with translations from a previous version.

Change export path: Opens the Change export path dialog where you can change the export path and set up an export path rule for the selected documents.

Important: in case of some documents, the preview files become too large for memoQ to handle. If the import of a document is too slow, you can try turning preview off. To do this. right-click a document or the empty space in the Documents tab, and, from the popup menu, choose Enable preview for translations. This toggle is turned on by default; if you click it, it will turn off.

Assign: Opens the Assign selected documents to users dialog where you can assign multiple documents to a single user in one or more workflow roles (Translator, Reviewer 1, Reviewer 2).

Auto-assign: Opens the Auto-assign documents to translators dialog where you can apply rules for automatic assignments of documents.

Change workflow status: Opens the Change workflow status dialog: here, you can set the workflow status of a document. The main purpose of this action is to push a document back in the workflow (for example, return the document to the Translator from Reviewer 2).

 

Document actions in content-connected projects

Navigation

To switch to another pane in in the memoQ online project dialog, click its icon. The name of the active pane is set in bold. To exit the memoQ online project dialog, click the Close () button in the top right corner.
