Schedule memoQ server backup
From the Deployment tool, you can make a full backup of memoQ server. You can do it manually, or you can schedule the backups, so that memoQ server is backed up automatically and regularly.
This topic is about scheduling regular backups.
To learn how to back up memoQ server manally, see the Backup memoQ server topic.
Always take note of the version because you will need it when you restore the package: When you make a backup, always note down the version of the memoQ server (for example, 8.1 - you don't need the build number). When you open the Deployment tool, the memoQ server section will show the version of the memoQ server that is running - and not the version of the Deployment tool. Include the version number (for example, 8.1) in the name of the folder where you store the backup packages.
How to get here
When you do this, memoQ server will already be installed on the server computer.
- Log in to the memoQ server computer through Remote Desktop.
- Open the Start screen or the Start menu: Press the Windows key.
- Type memoQ, and wait for the results to appear.
- In the list, click memoQ Server Deployment Administration.
- Windows may ask you to confirm to run the program. Click Yes or Run.
- The Deployment window opens. You need the topmost section (memoQ server):
- Click Advanced:
- From the menu, choose Schedule backup. The Schedule memoQ server backup window opens:
What can you do?
- Click the Schedule regular backup of memoQ server radio button.
- Choose when and how often memoQ server must create the backup. In the First time box, set the first time when a backup is saved. Choose a date and a time for this. Then, choose how often the backup should happen.
- To have a backup every day or every few days, click the Daily radio button, and set the number of days in the Frequency (days) box.
- To have a backup every week or every few weeks, click the Weekly radio button, and set the number of weeks in the Frequency (weeks) box. In the drop-down box below Frequency, choose which days of the week the backup should be made. You can choose one or several days.
- To have a backup every month or every few months, click the Monthly radio button. Set which day of the month the backup should happen: Choose in the Recur (day of month) box.
- Choose a folder where the backup will be saved. It can be on the memoQ server computer or on another computer. In any case, the user in whose name the backup is made needs access to that folder. You also need to decide about this:
- Should memoQ server overwrite the last backup? If it should, click Overwrite the backup file every time.
- Or, should memoQ add a date to the backup file, and keep the earlier ones? If it should, click Keep every backup file (append the date to the backup file).
Create a folder that contains the version number of memoQ server: You will need the exact same version to restore the backup package. For example, if you make the backup from memoQ server 8.1, you will need the deployment tool for memoQ server 8.1 to restore that backup. (The build number - the third one - does not have to be the same.) However, the backup package does not indicate the version number. It is useful to create a folder that contains the version number, for example: mQs-8-1-backups.
Caution: If you keep earlier backups, you will need much more disk space for the backups.
- If you need an e-mail when a backup is made: Check the Send email notification about the backup to the following addresses check box, and enter the e-mail addresses in the box below the check box. Separate the addresses with semicolons (;).
E-mailing must be set up: memoQ server uses the same e-mail settings for all notifications. You will receive e-mails about backups if e-mailing is set up on the server. To do that, open the Configure server window, and click the E-mail tab. Or, in the Schedule memoQ server backup window, click Configure memoQ server's e-mail SMTP settings. That will open the Configure e-mail SMTP options window, which has the same settings. To learn more, see the Configure server topic.
- Choose a user account in whose name memoQ server will do the backup. In the Account name box, enter the user name - with a domain name if necessary. In the Password box, enter the password for that user.
User must be an administrator: The user needs to have administrator's privileges on Windows. The user must also have access to the program files folder, the memoQ server data and AppData folders, as well as the SQL server database. The user must have permission to create a database backup and to write in the target folder.
When you finish
Click OK. The Deployment tool schedules a task in Windows to run the backup.
It is the deployment tool that makes the backup. Because this tool can run in one single instance only, other users cannot run it while the backup is running.
The result of the backup is logged in the Windows event logs. The Deployment tool logs the following events:
