Resource Console - LiveDocs

• To see more of one list, drag the thin gray divider line up or down:

  

• To see only the list of corpora: In the upper right corner, click the Hide documents link.
• To see only the documents in the selected corpus: In the upper right corner, click the Hide corpora link.
• To show a hidden list again: Click the Show documents or Show corpora link.

Cannot hide both lists: One of them is always visible.

Still too crowded? Drag a corner of the Resource Console window to resize it as needed.

To view the contents of a LiveDocs corpus: Click the name of the corpus in the upper list. In the bottom list, memoQ always shows the documents in the selected corpus.

1. In the upper half of the LiveDocs pane, under the first list, click Create new.
2. The New corpus window opens. Type a name for a corpus. At the bottom of the window, fill in other details if your organization uses them.

3. Click OK.

Normally, memoQ will show LiveDocs corpora from your own computer. However, you can manage online LiveDocs corpora from memoQ TMSs that you have access to.

To view the LiveDocs corpora from a memoQ TMS or from a memoQ TMS cloud:

1. At the top of the Resource console window, click the Server URL dropdown.

2. Type or choose the address of the memoQ TMS, and click the Select  button.

   You may need to log in: If you access this server for the first time, the Log in to server window opens. You need a user name and a password to access the server.

3. memoQ will show the LiveDocs corpora from that server and from your computer (those never disappear).

Online LiveDocs corpora have the cloud icon, and the server is shown next to them:

You must have permission for the LiveDocs corpus: It is not enough to have access to the memoQ TMS. To use a LiveDocs corpus, you need at least Lookup permission over the LiveDocs corpus itself. If you are not sure, contact the owner of the memoQ TMS.

Now you can create or edit LiveDocs corpora on the server, or perform other actions on them. You need permissions over the LiveDocs corpora to do so.

Normally, memoQ shows online LiveDocs corpora only if their server is selected in the Server URL box.

However, if you frequently use a LiveDocs corpus, you can pin it to the list. To pin an online LiveDocs corpus to the list, click the empty cell at the left of its row:

When a LiveDocs corpus is pinned to the list, it shows a pin in that cell:

When you select another server or My Computer in the Server URL box, the pinned LiveDocs corpus remains on the list.

If there are too many LiveDocs corpora on the list, you can filter the list: At the top of the LiveDocs pane, click the Show filters link. The filter controls appear:

The most efficient way to filter the list is to type a word or two in the Search for name or description box. It will narrow the list immediately to those resources that have those words in their names or descriptions.

To filter by different properties, choose values from below dropdowns:

• Language 1 and Language 2: Filter the list for resources that have a certain source or target language.
• Project, Client, Domain, and Subject: See which resources belong to one client or subject.
• Last modified and Last used: See which resources you used recently. Choose from 1, 3, or 6 months, 1 year, or set a custom date.
• Used in projects: Quickly see which resources are not used in any projects - you may want to archive or delete these.

To filter resources by number of entries: Enter a minimum and/or a maximum number in the Size boxes.

When you change one of the filters, memoQ refreshes the list immediately.

To sort the list by a detail: Click the header of the column you need. For example, to sort the list by name, click the Name header at the top of the list.

You can combine filters: For example, you need to find corpora with more than 1000 entries in documents for the client called 'memoQLtd', have French entries, and the word 'Legal' is in their names.

To hide the filters: Click the Hide filters link.

To delete a corpus: Click its name in the list. On the ribbon, click the Delete button.

To delete two or more corpora: 

1. Click the name of the first one, then Ctrl+click the names of the rest you want to add.

2. Under the list, click the Delete link.

   Delete button grayed out? The project uses one or more of the selected resources. To delete those, first remove them from the project.

   The Delete multiple resources window opens.

   

3. To save a backup of the resources before you delete them, check the Export resources before deleting check box. memoQ exports each resource into the same folder. You can see the export progress in the Task tracker window.
4. If you are sure you do not need these resources right now, check the I understand... check box, and click the Delete (or Export and delete) button.

If some of the resources are used in projects, the Warning section will list only those. To delete these, check the Also delete the resources in the list above check box. To keep these, leave this check box unchecked. Then go to Step 3 above. If you keep these resources, the button will read Delete the rest or Export and delete the rest.

1. Make sure that the document pair - the source-language document and its translation - is at hand.

2. In the upper list, select the LiveDocs corpus where you want to add the document pair.

   To view the contents of a LiveDocs corpus: Click the name of the corpus in the upper list. In the bottom list, memoQ always shows the documents in the selected corpus.

3. At the bottom, click the Add alignment pairs link. The Add multiple files for alignment window opens.

4. Set the languages. On the left, add the source-language document. On the right, add its translation. Adjust alignment settings as needed. Add keywords, so that you can filter for the document pair later. Click OK.

memoQ imports both documents, and aligns them. This is an automatic process: memoQ will try to match the segments in the source document to the segments in the translated document.

The document pair appears on the bottom list.

memoQ will start indexing the new document pair. Depending on the size of the documents, memoQ will start offering matches from the new document pair in a minute, or in several minutes at worst.

1. Make sure that the bilingual document is at hand.

2. In the upper list, choose the LiveDocs corpus where you want to add the bilingual document.

   To view the contents of a LiveDocs corpus: Click the name of the corpus in the upper list. In the bottom list, memoQ always shows the documents in the selected corpus.

3. At the bottom, click the Import document link. An Open window appears. Find and select the bilingual document, then click Open.

4. The Document import options window opens. It's the same as in the Translations pane, but there are three extra fields:

   

5. In the Keywords box, type some words that describe the document. Separate them with commas. Later, you can use these to find the document.

6. Set the target language: Choose it from the Target language drop-down box. memoQ will find out the source language from the document.

7. Click OK.

If the selected LiveDocs corpus is on a server: The documents will be uploaded automatically.

The bilingual document appears on the bottom list.

memoQ will start indexing the new bilingual document. Depending on the size of the document, memoQ will start offering matches from its contents in a minute, or in several minutes at worst.

In a LiveDocs corpus, monolingual documents are useful when they contain reference text in one of the target languages of the project. Translators who translate into a foreign language can check these documents for usage examples in the target language.

1. Make sure that the document is at hand.

2. In the upper list, choose the LiveDocs corpus where you want to add the document.

   To view the contents of a LiveDocs corpus: Click the name of the corpus in the upper list. In the bottom list, memoQ always shows the documents in the selected corpus.

3. At the bottom, click the Import document link. An Open window appears. Find and select the document, then click Open.

4. The Document import options window opens. It's the same as in the Translations pane, but there are two extra fields:

   

5. In the Keywords box, type some words that describe the document. Separate them with commas. Later, you can use these to find the document.

6. Set the language: Choose it from the Language drop-down box.

7. Click OK.

If the selected LiveDocs corpus is on a server: The documents will be uploaded automatically.

memoQ will not return matches from a monolingual document. Instead, translators and reviewers can run Concordance in the target language to check examples.

3. At the bottom, click the Import reference file link. An Open window appears. Find and select the document(s), then click Open.

5. To add more reference files, click the Add new file link in the bottom left corner.

6. In the Description box, type a short description for the reference file.

7. In the Keywords box, type some words that are related to the reference file. Separate them with commas. Later, you can use these to find the reference file.

8. Set the language: Choose it from the Language drop-down box.

9. Repeat steps 6 to 8 for each reference file in the list.

10. Click OK.

No need to choose an import filter: memoQ always uses the Reference files (binary) filter to import reference files.

The documents appear on the bottom list.

memoQ will not return matches from a reference file. But translators and reviewers can double-click a reference file in the corpus content to open it in its default viewer app.

You can import two monolingual documents into a LiveDocs corpus, and then make them a document pair.

1. Import the two documents separately into the LiveDocs corpus.
2. In the bottom list, select the two documents. Make sure that no other documents are selected.
3. At the bottom, click the Link documents link. The Link documents window opens.
4. Choose the source and target language, and adjust alignment settings.

5. After the document pair is created, you may want to remove one or both of the original documents:

   When memoQ links two monolingual documents, it actually copies the documents into a new document pair. memoQ can keep the original monolingual documents, but you can delete them if you do not need them.

At the top of the bottom list - the list of corpus contents -, there are dropdowns. To filter the list, choose one or more content types, one or more source or target languages, or one or more keywords.

For example, to find bilingual documents into German, which have the keyword 'Legal':

1. To choose the content type, open the dropdown above the Name column:

   

   Normally, memoQ shows all types of documents from the LiveDocs corpus. To hide documents of one type, clear its check box. For example, if you clear the Monolingual check box, memoQ won't show monolingual documents in the corpus.

   To switch all types back on, check the - show all - check box.

   After you make your choice, click the field above the dropdown again.

2. To choose the target languages, click the dropdown above the Target language column. It will list all the target languages from the LiveDocs corpus.

   Choose a target language.

   After you make your choice, click the field above the dropdown again.

3. To choose from keywords, click the dropdown above the Keywords column. memoQ will list all the keywords from the LiveDocs corpus, with check boxes.

   Normally, memoQ shows all documents - all keywords are on.

   To choose one or a few keywords, clear the - show all - check box, and then check the check boxes of keywords you need. memoQ will list those documents that have one of the selected keywords.

   After you make your choice, click the field above the dropdown again.

You can export entire LiveDocs corpora into XLIFF files. To do that:

1. In the upper list, select the LiveDocs corpora you need to export.
2. Under the list of corpora, click the Export link. A Save As (or, for two or more corpora, a Select folder) window opens.

3. When exporting one corpus: Find a folder and a name for the file, and click Save.

   memoQ saves each document in the LiveDocs corpus in a separate MQXLZ (memoQ XLIFF) file, and packs them into a single .zip file.

   When exporting two or more corpora: Find a folder for the files, and click Select folder.

   memoQ saves each document in the LiveDocs corpus in a separate MQXLZ (memoQ XLIFF) file, and packs them into separate .zip files for each corpus.

Export happens in the background: To see the progress, open the Task Tracker.

To import them back in a different LiveDocs corpus:

1. Extract the .zip file in a folder on your computer.
2. In the list of corpora, select the LiveDocs corpus where you need to import the documents.
3. Under the list, click the Import link. An Open window opens.
4. Select one or more MQXLZ files. Click Open.

To export one or just a few files into XLIFF files:

1. In the bottom list, select one or more documents.
2. Under the list, click the Export link. The Corpus document export options window opens.
3. Under Export path, click Browse. Find a folder for the exported file.
4. Check the Include all files in a single archive check box. memoQ will save a single zip file - as if you were exporting the entire corpus.
5. Click OK.

Before you can edit documents in a LiveDocs corpus, you must add the corpus to your project.

Then, in the bottom list, right-click a document pair or a bilingual document or a monolingual document. From the menu, choose View/Edit.

memoQ opens an editor tab for the document or the document pair. The editor tab will be different for each type of document. However, they are all similar to the translation editor.

If you can't make changes to the documents: The LiveDocs corpus or the document may be read-only. To make a document read-only: In the bottom list, select the document. Under the list, click Toggle read-only. To unlock the document, do the same again.

To view the properties of a LiveDocs corpus:

1. In the upper list, select the corpus.
2. On the LiveDocs ribbon, click Properties. The Corpus properties window opens.

   In the Corpus properties window, you can change the basic details of a corpus, and choose when it will index new or changed documents.

To remove one or more documents from a LiveDocs corpus:

1. In the bottom list, select one or more documents.
2. Under the document list, click Remove. memoQ will ask if you really want to remove these documents.
3. If you are sure, click Yes.

After you put together a LiveDocs corpus on your computer, you can share them on a memoQ TMS that you have access to.

1. In the Server URL box, choose the server. Click Select. Log in to the server if necessary.
2. Find the local LiveDocs corpus on the list. Select it.

   A local LiveDocs corpus is marked by a computer icon.

3. Under the first list, click Share on Server. The Share resource on server window opens.
4. You may choose a different name for the online copy of the LiveDocs corpus, and you may also delete the local LiveDocs corpus after it is shared. Make your choices, and click OK.

   memoQ will copy the LiveDocs corpus to the selected server, and make it available there, with the default permissions.

To remove a LiveDocs corpus from a server:

1. In the Server URL box, choose the server. Click Select. Log in to the server if necessary.
2. In the list, find the LiveDocs corpus you need to remove. Select it.
3. Under the first list, click Remove from server. The Remove corpus from server window opens.

   This command will not simply remove the LiveDocs corpus from the server: it will copy the LiveDocs corpus to your computer.

4. You may choose a different name for the LiveDocs corpus, and you may also keep the online LiveDocs corpus after it is "removed". Make your choices, and click OK.

   memoQ will copy the LiveDocs corpus to your computer.

Admin permission needed: To change the permissions over a LiveDocs corpus, you need the Admin permission over it.

To change who can do what with an online LiveDocs corpus, do this:

1. In the Server URL box, choose the server. Click Select. Log in to the server if necessary.
2. Find the LiveDocs corpus on the list. Select it.
3. Under the first list, click Set Permissions. The Permissions window opens.
4. Choose the users or groups who can access the LiveDocs corpus, and set their access levels. Add an expiry date to each permission if necessary. Click OK.
